Join the Treasurer Team

Supporting the work of CNY Rotary by helping with our finances is will not be a solo effort. We’ve divided the role into three positions and hope to recruit a cohesive team that will work together to keep us on budget, receive payments and distribute reimbursements in collaboration with the Finance Chair and other committees like CNY Rotary Events.

Candidates should have some experience in bookkeeping, accounting, banking, or serving as a treasurer for Rotary or some other organization. Experience with QuickBooks helpful.

Job Summary

The CNY Rotary Treasurer team is responsible for maintaining the CNY Rotary money accounts. The CNY Rotary Treasurer chair will send the CNY Rotary President and/or the Finance chair any reports as requested. The Treasurer (chair) will work with the CNY Rotary Events Committee on events registration prior to and during the event.

Reports to CNY Rotary President and Finance Committee Chair.

Qualifications: Must Agree to a background check (finance) and also to be bonded under the CNY Rotary insurance policy.

Treasurer- Chair Job Description:

  • Responsible for reporting on all CNY Rotary bank accounts. Reports to be generated for CNY President and Finance Chair as requested. End of year reports and Rotary International (RI) immediate past president reports (RI allocation, and annual statement and report of regional finances) to be sent to CNY President and Finance Chair once annual review is complete.
  • Assist with preparation of annual CNY Rotary budget
  • Responsible for referencing budget to ensure where expenses are budgeted or if they need approval from the Finance Committee
  • Responsible for completion of the CNY Rotary 990 tax document – sent to the Finance Chair for approval. *Can be completed by a qualified tax professional. An expense for this needs approval if not budgeted.
  • Responsible for overseeing annual financial review. 
  • Provide support to event chairpersons as needed.
  • Generate all CNY Rotary dues invoices and share with the Finance Committee.

Money In- Co-Chair Job Description:

  • Assist with preparation of Annual CNY Rotary Budget
  • Distribute all dues invoices to the clubs twice a year based on input from CNY President and MD-PETS treasurer. Follow up with clubs and document receipt of dues and notify CNY President of problems or discrepancies.
  • Club dues mailed to and deposited by Money In- Co-Chair
  • Document any money received during Rotary events and work with the CNY Events Committee chair in any cross-over work.
  • Reconcile accounts monthly through shared CNY Rotary financial software.
  • End of year reports to be sent to CNY President and Finance Chair once annual review is complete.
  • Assist Chair in annual financial review

Money Out Co-Chair Job Description:

  • Assist with preparation of Annual CNY Rotary Budget
  • Reference budget items when paying out funds and seeking approval from the Finance Committee for un-budgeted items.
  • Obtain vouchers for any expenditures and send to Finance Chair for approval before issuing checks
  • Work with the CNY Rotary Foundation Chair and Grants Sub-Committee Chair on issuing checks for grants as approved.
  • Document any expenses during CNY Rotary events and work with the CNY Events Committee chair in any cross-over work.
  • Maintain RI allocation for CNY Rotary President expenses and issue checks against vouchers approved by the Finance Chair.
  • Follow up on missing documents when vouchers are submitted incomplete.
  • Assist Chair in annual financial review
